Hello, and welcome!
In today’s 4-Minute Video, I’m sharing how we easily organize big projects into multi-part routines within our own team here at LearnDoBecome.
I truly enjoy organizing our content here at LearnDoBecome with our team; So I thought for this video, we could actually take you all INSIDE our system to show how we’ve organized our own multi-part routines. My hope is that this video may show you just how simple it can be to get a big project or big routine into a simple system—in a way that actually feels FUN! I’d like to share with you the PRINCIPLES of how we format our content so you can easily recreate this using paper, photocopies, or any other medium for your own projects and routines.
The platform we use to format our content is Asana. (It’s not the only software you can use, there are tons of different options out there, but I personally use Asana and have found it to be even more useful when collaborating with our team!). Our system for organizing our content is called our “LearnDoBecome Content Publication Process.” And below I’ll go into more detail about what this process looks like for us!
Publication Template:

At the top, we have a template for our podcast/video publication process. When you click inside of the template to see more details, you can see in the description that we have things like key file links (dropbox audios, Evernote images, etc.), descriptions, image notes, and all the things that our team would need in order to turn this project from an idea into a publication.

So as I’m putting things together (once I’ve created a podcast or video), I’m putting links and notes in their designated spot so everything is together in one place and our team members are not looking all over trying to find the files. Based on the items you’ll want to have gathered in order to work on your project, you can create your own categories in your descriptions.
Tasks:

When you scroll down below the description, we have a variety of tasks that are assigned to different team members. If you’re doing it all alone, they could be assigned to you! But one of the reasons why I LOVE using Asana is because of how it easily allows for our team to collaborate on one project home base. You can also assign each task a deadline, which is what we do when we have a podcast or video is going live on a certain day.

Now that we’ve created the template, you can actually just go in and duplicate it (this way all the tasks and who they’re assigned to stays there and you just change the title). You can see within this space in Asana which ones are in process and which ones are next in line.
If you were to click inside the ones in process, you’d find that we’ve added in the information and the team members have checked things off as they go. At the bottom, there are lines for comments and space for collaboration.
What’s been so exciting about this is that we can look at the schedule when we’ll be posting, and everyone knows where all the information is, who is doing what, and it happens with a beautiful flow. This is what makes me EXCITED to record a podcast or video because it goes right into the system— like a PEZ dispenser!
How to use this in your own life:
This could be applied in your own life in SO many different ways! If you’re a real estate agent, you could use this for the homes you’re closing and the routines that need to happen along with that whole process. If you’re a teacher with specific meetings or newsletters that you’re required to send out to parents each week, you could put that routine into this process as well!
Once you have your process set up, it gives you freedom and enables you to feel excited about your project routines. You lose the overwhelm and need to procrastinate, and everyone can work together seamlessly! You’ll start to realize, “Wow, I can actually make a difference in the world because I have systems to support me! And they’re effortless.”
When you have a really simple system put together, and you pick your set dates, steps in place, and you keep repeating it—it becomes SO much easier to create a routine that feels fun and gets things done. You’ll gain momentum that fuels you forward towards accomplishing all of your goals!
